When brokers submit deals to Thea Mortgages, we collect information necessary to facilitate private mortgage lending. This includes:

  • Contact information (name, email address, phone number, brokerage details)
  • Property information (address, type, description, appraised value)
  • Financial information (loan amount, income, credit score, existing mortgage balances, LTV)
  • Deal details (loan purpose, lien position, exit strategy, closing dates)
  • Supporting documents (mortgage applications, appraisals, financial statements)

2. How We Use Your Information

We use the information we collect to:

  • Present deals to private lenders for review based on deal profile and lender criteria
  • Facilitate the mortgage process, including generating Letters of Intent
  • Communicate with brokers about deal status, missing information, and next steps
  • Improve our deal processing and intake workflows

3. AI-Powered Intake

Deal submissions sent to our intake email address are processed by our AI intake system, Kayley. This system extracts deal information from emails and attachments, identifies missing fields, and generates responses to brokers. All AI-processed deals are reviewed by our team before any lending decisions are made.

4. Data Storage & Security

Your information is stored securely in encrypted databases hosted in Canada. We use industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews to protect your data.

5. Information Sharing

We share deal information only with our lending partners, and only the information relevant to evaluating the specific deal. We do not sell, rent, or trade personal information to third parties for marketing purposes.

We may disclose information when required by law or to comply with legal obligations.

6. Data Retention

Deal information is retained for the duration of the active deal plus seven years thereafter, in accordance with Canadian regulatory requirements for financial services record-keeping. You may request deletion of your data after the retention period has expired.

7. Your Rights

Under applicable Canadian privacy legislation (including PIPEDA), you have the right to:

  • Access the personal information we hold about you
  • Request corrections to inaccurate information
  • Withdraw consent for the collection and use of your information (subject to legal and contractual restrictions)
  • File a complaint with the Office of the Privacy Commissioner of Canada
